Version history
A new version is created automatically when you replace a file, when you save an edited image, or when your administrator has enabled external sync and the file changes directly in connected storage. This page covers what you can do with those versions.
Open the version history
Section titled “Open the version history”- Find a file that has versions. It has a > expand arrow next to its name.
- Click the expand arrow to open the version history panel.
- The panel shows a table with Version, Name, Size, Status and Actions.
- The current active version carries a Current badge, and versions are listed with the most recently active at the top.
- Use Previous and Next at the bottom of the panel to page through versions, 10 per page.
- Click the expand arrow again to collapse the panel.
Download a version
Section titled “Download a version”Expand the panel and click Download next to the version you want. That specific version downloads to your computer.
Restore a version
Section titled “Restore a version”Restoring makes a version the current active file again. The previously current version is demoted but stays in the history.
- Expand the version history panel.
- Click Restore next to a version that is not current.
- The restored version gets the Current badge, and the main file list updates to match.
Delete a version
Section titled “Delete a version”You can delete individual versions without affecting the others.
- Expand the version history panel.
- Click Delete next to the version you want to remove.
- The version is permanently deleted.
If you delete the version marked Current, the most recent remaining version is promoted to current automatically. If you delete the last remaining version, the file is removed from the list entirely.
On SharePoint
Section titled “On SharePoint”The panel shows SharePoint’s own version history for the file, the same versions you would see in SharePoint’s Version History dialog, newest first with who changed it and when.
Restoring is non-destructive: SharePoint adds the restored content as a new version, so nothing is ever lost. Individual versions cannot be downloaded or deleted from Salesforce; use SharePoint’s Version History dialog for those.
If the panel is empty
Section titled “If the panel is empty”The file only has one version, the current one. Version history fills up when you replace a file or save an edited image.
